A home-services business
Orders that book, confirm and file themselves.
Every online order used to be re-typed into accounting, confirmed on WhatsApp by hand, and logged in a spreadsheet. We connected the tools so each order flows through all of them on its own — and customers get reminders that bring them back.
The challenge
Order admin ate two to three hours a day. Confirmations went out late, invoices lagged, and nobody had time to follow up past customers — so repeat business leaked away.
The solution
When an order lands, the workflow creates the invoice in accounting, sends a WhatsApp confirmation with the booking details, logs the job to the master sheet, and schedules a service reminder that goes out when the customer is due again.
The workflow we built
- Catch the order. Web, WhatsApp and phone orders all enter one pipeline the moment they arrive.
- Invoice & confirm. The invoice is created in accounting and the customer gets an instant WhatsApp confirmation.
- File everything. Every job logs itself to the master sheet — schedule, amount, status, all current.
- Bring them back. Due-date reminders go out automatically, turning one-off jobs into repeat bookings.
Tools we used
The results
- Manual order entry disappeared entirely — two to three hours a day back.
- Repeat bookings rose 32% once due-date reminders started going out on time.
- Around HK$14,000 of admin cost saved every month.
